About The Position

This position performs reception duties, provides information regarding Adult Education programs and services, and supports day-to-day operations through data entry, report preparation, and records maintenance. The role involves operating and maintaining office equipment, managing office supplies and instructional materials, and preparing and maintaining division records. Additionally, the Administrative Assistant I will maintain office operations, process and distribute mail, assist students with various needs, and communicate effectively with division and college personnel. The role also supports promoting a culture of belonging within the college community.

Requirements

  • High School graduate or GED.
  • Two (2) years of administrative assistant/clerical experience, OR one (1) year of office experience plus one (1) year of related education, training, or experience.

Responsibilities

  • Perform Reception Duties: Greet and direct visitors, answer and route telephone calls, respond to routine inquiries, relay messages, and maintain a professional front desk presence.
  • Provide Information: Offer information on Adult Education programs and services, including ABE, GED® test prep, ESL, registrations, College services, procedures, resources, events, and other Continuing Education offerings.
  • Support Operations: Assist with day-to-day Adult Education operations through data entry, report preparation, records maintenance, and related administrative tasks.
  • Operate and Maintain Office Equipment: Use personal computers, multi-line telephone equipment with voicemail, calculators, and copy/scanner equipment. Provide basic technology assistance and report equipment malfunctions.
  • Maintain Office Supplies and Instructional Materials: Inventory, order, receive, and distribute office supplies, instructional materials, and program resources. Monitor inventory levels and ensure adequate stock.
  • Assist with Material Preparation: Help prepare and distribute materials for classes, workshops, conferences, special events, and other program activities.
  • Prepare and Maintain Division Records: Prepare, process, and maintain various division records, including registration and personnel forms, student and instructor information, statistical records, inventory lists, program files, and equipment repair records. Assist with database maintenance.
  • Maintain Office Operations: Ensure office organization, workflow, quality control, accuracy, and productivity. Demonstrate resourcefulness and initiative. Provide administrative and operational support to staff, instructors, and faculty.
  • Contribute to Work Environment: Support teamwork, coordinate meetings, workshops, trainings, events, and other division activities. Ensure efficient workflow.
  • Process and Distribute Mail: Handle incoming and outgoing mail, documents, and materials according to College procedures.
  • Assist Students: Help students and community members with registrations, course information, appointments, forms, documentation, and referrals. Support administrative processes that promote student success.
  • Support Activities: Assist with orientations, assessments, workshops, conferences, testing activities, meetings, and special events at multiple College locations. Provide front-desk and reception coverage as needed.
  • Communicate with Personnel: Prepare, copy, file, distribute, scan, archive, and maintain correspondence, reports, forms, and other documents. Coordinate and distribute information to various stakeholders. Communicate professionally with supervisors, colleagues, faculty, staff, students, and community partners.
