Join us to make an impact while growing your career! We are seeking a highly organized and proactive Administrative Assistant to support executive leadership, HR, and daily operations. This role is essential in keeping our organization running smoothly. The ideal candidate is detail-oriented, tech-savvy, and able to manage multiple priorities independently. ABA Squad is founded and led by behavior analysts. Its clinical team is comprised of energetic and enthusiastic individuals, who are passionate and dedicated to the field of behavior analysis. Our diverse and experienced clinicians come from many educational and cultural backgrounds, but most importantly, the clinicians at ABA Squad share a unified vision— to positively change the way ABA services are provided, so families have access to quality, ethically-oriented services. ABA Squad is a growing and team-oriented ABA clinical company that provides high quality, ethically oriented applied behavior analysis (ABA) services to children with autism and other developmental disabilities. Our services include ABA therapy, social skills groups, school-readiness preparation, tutoring, early literacy training, and parent and professionals training. Requirements

  • 1–3 years of administrative experience (healthcare experience preferred)
  • Strong organizational and time management skills
  • Proficiency in Microsoft Office (Excel required)
  • Excellent written and verbal communication skills
  • Ability to handle confidential information
  • Detail-oriented, proactive, and tech-savvy

Responsibilities

  • Executive / CEO Support
  • Coordinate events and conference logistics (e.g., ABA conferences)
  • Assist with creation and organization of marketing materials
  • Post content on social media
  • Communicate with vendors
  • Request quotes, compare pricing, and make approved business purchases
  • HR Administrative Support
  • Assist with onboarding paperwork (offer letters, documents, checklists)
  • Track employee documentation (licenses, RBT certifications, expirations)
  • Maintain HR files and compliance records
  • Send reminders for credential renewals, missing onboarding items, and annual trainings
  • Maintain candidate tracking sheets
  • Prepare basic HR reports (turnover, hires, etc.)
  • Operations / General Admin Support
  • Perform data entry and maintain organized records (insurance info, employee data, etc.)
  • Maintain trackers and spreadsheets
  • Prepare and format documents (forms, templates, letters)
  • Support internal communications (announcements, reminders)
