About The Position

USAgain is looking for a detail-oriented and organized Administrative Assistant – Government Relations to join our team. This role provides essential administrative, research, and project coordination support to our Government Relations department. Requirements

  • High school diploma or equivalent required
  • Associate's or Bachelor's degree preferred
  • 1–3 years of administrative, office support, permitting, regulatory, municipal, planning, legal, real estate, or project coordination experience preferred
  • Experience researching, organizing, or processing documentation in administrative or office environments is preferred
  • Experience with permit applications, zoning research, mapping tools, or municipal processes a plus — but not required
  • Equivalent experience or demonstrated aptitude will be considered
  • Strong organizational, research, and documentation skills
  • Exceptional attention to detail with the ability to manage multiple priorities
  • Ability to research and interpret municipal codes, zoning information, and agency requirements
  • Strong written and verbal communication skills
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams)
  • Ability to prioritize tasks, meet deadlines, and work independently
  • High degree of professionalism, discretion, and confidentiality
  • Willingness to learn municipal processes, permit requirements, and internal systems
  • Ability to collaborate across departments and work effectively in a team environment

Responsibilities

  • Provide day-to-day administrative support to the Director of Government Relations, including scheduling, correspondence, and department communications
  • Research zoning ordinances, municipal codes, land use regulations, and local requirements across multiple jurisdictions
  • Assist with the preparation, completion, and submission of permit applications, registrations, and documentation for municipal, county, and state agencies
  • Track permit renewals, application progress, deadlines, and follow-up requirements
  • Assist in developing and maintaining site maps, location diagrams, and supporting materials for permit applications and zoning submissions
  • Coordinate with internal departments and field teams to gather required information for applications and filings
  • Maintain accurate and organized department records, permits, and regulatory documentation in company systems
  • Prepare presentations, reports, and meeting materials as needed
  • Log and maintain government relations and permitting information in CMS and company systems
