About The Position

U.S. Venture is looking for an Administrative Assistant to support our Front Desk operations. The Administrative Assistant will be one of the first people our guests, candidates, and team members speak with, and will have a great responsibility of providing a positive experience. We are looking for someone who has a willingness to learn, quickly adapt, and can accept new challenges. This position provides support by answering incoming phone calls, general correspondence, screening mail, setting up files and records, perform data & order entry, and other tasks as assigned. This will be a part-time position Monday - Friday starting at 20 hours per week with the potential to increase to full-time, 40 hours per week. This position will be located onsite at our Corporate Headquarters in Appleton, WI.

Requirements

  • Formal education or experience equivalent to a high school graduate plus 2 years administrative/office experience
  • Attention to detail and deadlines
  • Ability to use office equipment including copiers, fax machines, computers, etc.
  • Above average written and verbal communication skills
  • Average keyboarding skills
  • Basic accounting knowledge
  • Ability to project a positive image to customers
  • Must be currently authorized to work in the United States on a full-time basis and must not require U.S. Venture’s sponsorship to continue to work legally in the United States.

Responsibilities

  • Perform varied duties such as screening mail, setting up files and records, and preparation of routine reports
  • Operate a computer utilizing one or more software packages to generate general correspondence, reports, spreadsheets and graphics
  • Represent the company in a positive nature
  • Perform administrative duties requiring considerable judgment
  • Check-in guests and notify appropriate team members
  • Work with security badge system to create new hire badges
  • Screen mail set up files and records, and prepare of routine reports
  • Generate general correspondence, reports, spreadsheets and graphics
  • Prepare correspondence, reports, and presentations
  • May coordinate/assist with coordinating meetings, charitable events, conferences and public relation activities and events
  • May arrange travel arrangements and schedule appointments
  • Enter meeting sign-in sheets and training
  • Assist with other duties as assigned
