About The Position

Provides clerical support for the programs at Family Services. Responsibilities include but are not limited to billing, client registration, running insurance eligibility, answering phones, ordering supplies, ensuring positive client flow and scheduling appointments. The secretary will greet and manage clients as they enter the building for appointments.

Requirements

  • High School Diploma or equivalent
  • One year secretarial experience.
  • Act 33/73 Clearances
  • Family & Friends CPR
  • Comprehensive Crisis Management per policy.

Nice To Haves

  • Associate degree in a secretarial program.
  • One year secretarial experience in a Behavioral Health setting.

Responsibilities

  • Performs routine clerical duties to support all programs in the daily operation at Family Services.
  • Orders supplies and forms as needed in a timely manner.
  • Manages the phones, greets clients and visitors to the building in a professional and welcoming manner.
  • Notifies all staff of appointments in an efficient and timely manner.
  • Completes eligibilities and billing entries and assist staff with needs for specific programs including data collection and outcome measurements.
  • Channels information to appropriate staff members, physicians and other departments accurately and in a timely manner.
  • Asserts adherence to rules in a non-threatening and positive manner.
  • Secures and locks facility at closing.
  • Completed mandatory education, annual competencies and department specific education within established timeframes.
  • Completed annual employee health requirements within established timeframes.
  • Maintained license/certification, registration in good standing throughout fiscal year.
  • Consistently utilizes appropriate universal precautions, protective equipment, and ergonomic techniques to protect patient and self.
  • Identifies and works to reduce potentially unsafe patient care or other safety practices.
  • Adheres to regulatory agency requirements, survey process and compliance.
  • Sets the Stage by using greetings/introductions when interacting with any customer or entering a patient room.
  • Looks and acts like a professional.
  • Uses consistent phone etiquette.
  • Helps people who look lost or confused.
  • Keeps a clean and professional environment and work space.
