About The Position

RHM Real Estate Group is seeking an organized and proactive Administrative Assistant – Executive Team to provide high-level administrative, organizational, and personal support to the executive leadership team. Serving in a coordinating role between executive leadership, corporate departments, and external business partners, the ideal candidate is highly detail-oriented, can manage multiple simultaneous priorities, and maintains a high degree of professionalism and confidentially.

Requirements

  • 3+ years of administrative support experience required
  • Associate's degree in Business Administration, Communications, or related field required
  • Excellent written and verbal communication skill
  • Strong organizational, multitasking, and time-management abilities
  • Ability to work independent with minimal supervision
  • Demonstrated ability to maintain confidentiality and sound judgement
  • Strong working proficiency in Microsoft Office Suite – including Outlook, Word, Excel, PowerPoint, and Team
  • U.S. work authorization required for employment

Nice To Haves

  • Experience specifically supporting senior corporate leadership preferred
  • Bachelor’s degree in Business Administration, Communications, or related field preferred
  • Experience is multifamily housing, property management, real estate, or related industries is a plus
  • Familiarity with Yardi, RealPage, Entrata or similar property management software is a plus

Responsibilities

  • Provide administrative support for the executive team, including calendar management, meeting coordination, and travel arrangements.
  • Coordinate scheduling to maximize efficiency and productivity.
  • Prepare and distribute correspondence, reports, and meeting materials.
  • Schedule and coordinate executive meetings, leadership conferences, board meetings, and special events.
  • Monitor project timelines and follow-up activities.
  • Assist with cross-functional projects as assigned.
  • Serve as a professional representative of the executive team with employees, residents, investors, and partners.
  • Draft communications and announcements on behalf of the executive team.
  • Assist with internal and company-wide communications.
  • Manage electronic and physical filing systems.
  • Maintain confidential personnel, financial, and business records.
  • Process invoices, expense reports, and other administrative documentation.
  • Support coordination of personal appointments, reservations, deliveries, errands, and time-sensitive tasks while exercising sound judgment and confidentiality.
  • Handle sensitive business information with a high level of discretion and professionalism.
  • Maintain compliance with company policy and applicable federal, state, and local law.
  • Protect confidential employee, financial, and ownership information.
