About The Position

Northern Star Scouting is seeking a seasoned professional to join our Development Team as an Administrative Assistant. Operating out of our beautiful Base Camp facility at Fort Snelling, this is not merely an administrative role; it is a high-level executive partnership designed for an individual who thrives on precision, professional judgment, and mission-driven impact. As a key support to the entire department, you will act as a strategic force behind our fundraising operations, ensuring the seamless execution of departmental priorities, that every piece of writing resonates with our donors, and the comprehensive support necessary to drive our collective success. In this capacity, you will manage the complex intersections of donor relations, data analytics, and executive project support. Your day-to-day work involves transforming raw data within our eTapestry CRM into the high-level statistical insights necessary to fuel compelling funding proposals. You will serve as a primary steward of our "gold-standard" donor data, applying advanced technical skills in Excel-including pivot tables and complex formulas-to audit and refine our most critical assets. Beyond the data, your writing expertise will ensure that every piece of donor correspondence is timely, impactful, and rooted in the transformational language of donor-centric stewardship. As a seasoned executive assistant, you will be expected to anticipate the needs of leadership, streamline multi-faceted administrative operations, and manage confidential projects with complete discretion. Your prior experience in fundraising cycles will allow you to expertly navigate the nuances of pledge processing, workplace giving, and prospect identification. Furthermore, you will lead the logistical charge for our signature events, coordinating with volunteer committees and vendors to ensure smooth, professional experience for our supporters.

Requirements

  • Significant prior experience from a professional nonprofit or corporate fundraising environment.
  • Professional maturity to manage complex relationships.
  • Technical fluency in Microsoft 365 suite, particularly high-level Word document production and advanced mail merges.
  • A minimum of a two-year associate's degree.
  • Firm grasp of general accounting practices.
  • Typing speed of at least 50 words per minute.
  • Genuine willingness to become an expert in the activities and values of Scouting.

Responsibilities

  • Transform raw data within our eTapestry CRM into high-level statistical insights for funding proposals.
  • Audit and refine donor data using advanced Excel skills (pivot tables, complex formulas).
  • Ensure donor correspondence is timely, impactful, and donor-centric.
  • Anticipate leadership needs and streamline administrative operations.
  • Manage confidential projects with discretion.
  • Navigate pledge processing, workplace giving, and prospect identification.
  • Lead logistical coordination for signature events, including volunteer committees and vendors.
