About The Position

The Communications Sciences and Disorders Administrative Assistant is a highly organized and proactive individual providing comprehensive administrative support. The successful incumbent will play a crucial role in ensuring the smooth operation of the department, assisting faculty and students, and supporting various departmental functions. The incumbent will oversee building operations, support the students, faculty, clients / client families, and ensures a physical presence in Hendricks Hall as faculty and students travel between campus and clinical sites to engage in clinical and academic learning experiences.

Requirements

  • Associate's degree or equivalent work experience required; Bachelor's degree preferred.
  • Minimum of 2 years of administrative experience, preferably in an academic or healthcare setting.
  • Valid Georgia Driver’s License (or obtained within 30 days of hire date) and satisfactory MVR.
  • Experience in a university or academic environment.
  • Knowledge of communication sciences and disorders or related fields.
  • Familiarity with university administrative systems and processes.
  • Ability to collaboratively and effectively work in a diverse and inclusive environment.

Responsibilities

  • Manage daily office operations, including scheduling, correspondence, and record-keeping.
  • Coordinate and schedule meetings, events, and appointments for faculty and department staff.
  • Prepare and distribute meeting agendas, minutes, and other related documents.
  • Serve as the primary point of contact for internal and external inquiries related to the department.
  • Handle phone calls, emails, and mail, ensuring timely and professional responses.
  • Facilitate communication between the department and other university departments, organizations, and stakeholders.
  • Maintain accurate and confidential records, including student files, faculty documents, and departmental data.
  • Assist with the preparation and submission of reports, and accreditation documentation.
  • Organize and coordinate departmental events, workshops, seminars etc.
  • Assist with logistics, including venue arrangements, materials preparation, and participant registration (if required).
  • Process purchase orders and expense reports
  • Assist with budget tracking and financial reporting as needed
  • Provide administrative support to faculty and students, including handling course-related inquiries and assisting with scheduling.
  • Support the onboarding process for new faculty and students.
  • Oversee office supplies inventory and ordering.
  • Ensure the office environment is organized and well-maintained.
  • Other relevant duties as assigned.
  • Regular and predictable attendance is required.
  • On-site work is required.
  • Incumbents must remain relevant in the area of employment and flexible to changes in work related to institutional needs.
