The Role: We are seeking a dedicated Administrative Assistant - Clinical to serve as the first point of contact for patients and visitors, ensuring a welcoming and professional environment. This role manages front desk operations, schedules appointments, manages patient inquiries, and provides essential administrative support to clinical staff.

Requirements

  • High school diploma or GED required (associate degree preferred).
  • 1–2 years of experience in a medical office or customer service environment.
  • Proficiency in Microsoft Office and EMR systems; AdvancedMD experience preferred.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Ability to pass background checks, credit checks, drug tests, and reference checks.
  • Valid U.S. driver’s license.

Nice To Haves

  • Knowledge of medical terminology and insurance processes (preferred).

Responsibilities

  • Patient Interaction Greeting patients and visitors warmly in person and over the phone.
  • Answer routine questions and direct inquiries appropriately.
  • Provide intake forms and assist with completion as needed.
  • Maintain a calm, organized, and professional reception area.
  • Scheduling & Coordination Schedule and confirm patient appointments using EMR management software.
  • Follow up on cancellations or rescheduling needs on time.
  • Coordinate referrals and communicate effectively with external providers.
  • Administrative Duties Check patients in and out, verify insurance, and collect co-pays.
  • Maintain and update patient records, financial information, and documentation.
  • Process payments and assist with billing inquiries.
  • File, scan, and archive documents securely to ensure compliance.
  • Communication & Support Relay messages to clinical staff and respond to patient concerns promptly.
  • Notify providers of patient arrivals, delays, or urgent updates.
  • Assist with inventory management, supply ordering, and general office upkeep.
