About The Position

Marcus & Millichap, a leading brokerage firm specializing in real estate investments, is seeking a personable and professional Administrative Assistant for their New Jersey office. This role serves as a first impression for clients and visitors, offering a stable, professional office environment with opportunities for growth and challenge. The ideal candidate is passionate about customer service, continuous improvement, and contributing to the office's success. The company provides training for this pivotal position. The commercial real estate industry is competitive and fast-paced, requiring a mindset of "no job too big or small." Administrative Assistants will enroll in Marcus & Millichap’s Certified Agent Support Specialist program within the first few months of employment and will be trained to assist agents throughout the transaction lifecycle, manage the front office, and support team members. This is a full-time, non-exempt (hourly), in-office position.

Requirements

  • Intermediate computer skills including MS Word, Excel, PowerPoint, and Outlook.
  • Strong organizational, interpersonal, and communication skills.
  • Proofreading and editing abilities.
  • Quick learner with an enjoyment for learning/working with software and technology.
  • Great soft skills: collaborative, proactive, approachable, and a strong desire to learn and grow.
  • Excellent attention to detail.
  • Reliable and punctual.
  • Pride in owning responsibilities and contributing to the team.
  • Candidates are tested for competency in software and office skills.

Nice To Haves

  • 2+ years of administrative experience.
  • Experience training others.
  • Some experience in Adobe Creative Suite.

Responsibilities

  • Learning real estate transaction administrative support, including using Marcus & Millichap's proprietary software to assist agents throughout the life cycle of their transactions.
  • Management of the front office, including tasks such as reporting facilities issues, ensuring supplies are stocked, and assembling sales meeting presentations.
  • Becoming a valuable team member by working closely with and supporting the home office and team members across the geographic area with tasks including software training, technology troubleshooting, and special projects.
  • Completing a challenging program to learn how to train applications and support new sales agents, staff, and management.
  • Serving as the New Jersey office’s representative in firmwide tech launches and providing onsite tech support for applications.
