We are seeking a detail-oriented and highly organized Administrative Assistant to join our growing team. This role is critical to the smooth operation of our contracting and administrative processes. The ideal candidate will be someone who thrives in a fast-paced environment, takes pride in accuracy, and enjoys working on a variety of projects that support our mission and our agents.

Requirements

  • 2+ years of administrative experience , preferably in insurance, administrative, or a related field.
  • Exceptional attention to detail and accuracy in all work.
  • Strong organizational and time management skills with the ability to handle multiple priorities.
  • Tech-savvy , proficient in Microsoft Office Suite (Excel, Word, Outlook) and comfortable learning new systems.
  • Coachable, hardworking, and positive attitude —a team player who’s willing to learn and grow.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with integrity and professionalism.

Responsibilities

  • Process and manage Insurance Agent contracts , appointments, and terminations with multiple carriers.
  • Handle commission setup and change requests , ensuring timely and accurate updates.
  • Maintain and organize agent records and databases with strict attention to detail.
  • Collaborate with internal departments and carriers to troubleshoot contracting or commission issues.
  • Assist with special projects , process improvements, and administrative initiatives to enhance efficiency.
  • Track project progress, meet deadlines, and communicate updates clearly.
  • Provide exceptional customer service to agents and team members through various methods like email, ticket system, and phone.
  • Perform general administrative duties, including document management, reporting, and data entry.
