Requirements

  • Applicants must be bilingual, English/Spanish
  • Physically capable of performing essential function of position.
  • Work environment and physical requirements consistent with those of a typical school/office environment requiring significant utilization of computer, telephone, and other office equipment.
  • Utilize the Computer (50-75%) of the time and other office equipment.
  • Ability to move throughout the building continuously throughout the workday.

Nice To Haves

  • Office management and/or school office experience preferred.
  • Associates degree or administrative assistant certification preferred.

Responsibilities

  • Serves as the initial point of contact for family and community inquiries regarding the school programs and demonstrates an awareness and respect for each student and their families from all racial, ethnic, and socio-economic backgrounds, abilities, and family structures.
  • Provides administrative support to the Superintendent, Heads of School and Director of Special Education and other administrators as deemed appropriate.
  • Responsible for student attendance, including contacting families daily regarding absent students and notifying Heads of School and/or Director of Special Education of any lengthy or unexplained absence.
  • Serves as the main point of contact for the integrity of the education/student database including entering new student data, updating parent and emergency contact information, ensuring accurate district information and contacts, running reports, etc.
  • Serves as translator for meetings and documents, as needed or requested
  • Regularly maintain and update all permanent records files for general education students including Response to Intervention (RTI) files
  • Collaborate with special education director and coordinator to schedule meetings, oversee records and reports, etc. as needed
  • Ensure all report cards are filed in students’ permanent records no later than one (1) week after the closing of each trimester.
  • Processes and monitors school program purchases, including tracking and verifying receipt of all materials and budgeted items, including billing for consultants and other state and/or grant funded requests.
  • Monitors all budget and grant expenditure using a tracking system that includes purchase order numbers and costs
  • Coordinates, communicates, and disseminates school related information to staff, families, and members of the community as appropriate.
