About The Position

Meeting Street is seeking a full-time Administrative Assistant who is bilingual in Spanish and English to join their team. This role is crucial for supporting the school's mission of helping children of all abilities reach their fullest potential. The position involves serving as the initial point of contact for families and the community, providing administrative support to school leadership, managing student records and attendance, and acting as a translator. Requirements

  • Bilingual in English and Spanish.
  • Physically capable of performing essential functions of the position.
  • Ability to move throughout the building continuously throughout the workday.
  • Utilize the Computer (50-75%) of the time and other office equipment.

Nice To Haves

  • Office management and/or school office experience preferred.
  • Associates degree or administrative assistant certification preferred.

Responsibilities

  • Serve as the initial point of contact for family and community inquiries regarding school programs, demonstrating awareness and respect for students and families from diverse backgrounds.
  • Provide administrative support to the Superintendent, Heads of School, Director of Special Education, and other administrators.
  • Manage student attendance, including daily contact with families regarding absent students and notification of school leadership for prolonged absences.
  • Maintain the education/student database, including entering new student data, updating contact information, ensuring accurate district information, and running reports.
  • Serve as a translator for meetings and documents as needed.
  • Maintain and update permanent records files for general education students, including Response to Intervention (RTI) files.
  • Collaborate with the special education director and coordinator to schedule meetings and oversee records and reports.
  • Ensure all report cards are filed in students’ permanent records within one week of trimester closing.
  • Process and monitor school program purchases, tracking and verifying receipt of materials and budgeted items, and billing for consultants and grant-funded requests.
  • Monitor all budget and grant expenditures using a tracking system.
  • Coordinate, communicate, and disseminate school-related information to staff, families, and the community.
