We are seeking an Executive Assistant to join Brookfield Properties in New York, NY. In this role, you will play a key role in inspiring change and continual improvement. As the Executive Assistant you will support the Asset Management team, reporting to the SVP’s of Asset Management. The ideal candidate will be an independent worker who has a proven track record of being detailed oriented, proactive, and professional. The ability to act as a gatekeeper while thinking ahead, remaining resourceful and efficient is key to this role.

Requirements

  • 6+ years’ experience in a corporate environment providing support in a front-facing capacity, preferably at a large global organization
  • Go-getter attitude, willing to act quickly to get the job done
  • Strong computer and technology intuitiveness, extremely proficient in the basics (Microsoft Office) and able to quickly acclimate to office technologies and new web-based resources / software
  • Excellent written and communication skills, communicate effectively with all levels of employees including senior management as well as valued clients, stakeholders and colleagues

Responsibilities

  • Proactive, detailed calendar management in Outlook; requiring quick responsiveness and interactions with internal and external executives and assistants across time zones
  • Be the go-to support team member for the Asset Management team
  • Coordinate all travel
  • Create, modify and manage business documents (PowerPoint, Word, Excel) with a high level of proficiency and careful attention to detail and formatting
  • Promptly respond to requests with accuracy and a courteous and professional demeanor
  • Act as gatekeeper, managing incoming correspondence and prioritizing competing requests
  • Oversee arrangements for formal meetings with external attendees
  • Liaison with various boards and professional organizations
  • Perform a wide variety of professional level research, administrative and analytical duties
  • Balance conflicting priorities in order to manage workflow, ensure the completion of essential projects, and meet critical deadlines
  • Anticipate needs and proactively bring together resources to support the SVP’s & VP’s.
  • Develop an awareness of the fundamental business activities and corporate culture of the firm to ensure appropriate decision-making protocols are followed
  • Additional tasks include processing expense reports using Concur, submitting and processing department invoices, mail, copying and binding
