About The Position

The Administrative Assistant, Academic Affairs provides essential administrative coordination for student-facing academic workflows and serves as the primary operational welcoming presence for Academic Affairs and Dean, Learning Resources. This role manages student tracking processes, supports institutional operational calendars, maintains public-facing curricular information on the College website, and routes inquiries and coordinates processes for multiple student success departments.

Requirements

  • Associate degree required.
  • Minimum of 2+ years of office support experience, preferably in a student-facing or higher education environment.
  • Proficiency in standard office productivity software (Microsoft Office) and comfort adapting to institutional database platforms (e.g., Maxient, Colleague SaaS, and website content management tools).
  • Strong interpersonal, written, and verbal communication skills; ability to remain calm, welcoming, and professional in a high-traffic, multi-department front office.
  • Strong organizational skills and attention to detail; ability to maintain strict confidentiality regarding student records (FERPA compliance) and process varied tasks with minimal direct oversight.

Responsibilities

  • Greet visitors, answer multi-line phones, triage inquiries, and professionally route students, faculty, and community members to the appropriate departments. Serve as the primary receptionist and first point of contact for the VPAA’s and the Dean, Learning Resources offices.
  • Administer and track student-related academic workflows, including Maxient Academic Integrity case management and appeals.
  • Coordinate, process, and track student substitution waiver requests and COLL101 waiver evaluations.
  • Provide operational oversight, student communications, and tracking for the Academic Restart program.
  • Support academic operations including the development of final exam scheduling and academic staff calendars.
  • Assist with compliance-related documentation, routine tracking, and records maintenance.
  • Maintain and update curricular information and academic updates on the College website using the content management system (CMS).
  • Audit public-facing academic pages regularly to ensure alignment with approved institutional curriculum changes.
