We are seeking an enthusiastic Administrative Assistant who will directly support our Absence Customer Success department. This individual will have a strong attention to detail, customer service experience, commitment to quality, manage many projects at the same time, and be comfortable working in a structured, fast-paced environment.

Requirements

  • 2 years of experience required, administrative support experience preferred
  • High school diploma required
  • Excellent written and verbal communication skills
  • High attention to detail and goal-oriented results
  • Excellent time management skills, ability to use critical thinking skills to prioritize work, and able to work autonomously as needed
  • Proficiency in MS Office, Excel, and PowerPoint
  • Ability to pivot quickly and understand priorities
  • Ability to think critically by gathering information, evaluating options, and implementing the best solution
  • Strong organizational skills
  • On-site presence 1–2 days per week based on business needs
  • Consistent and reliable high-speed internet and workspace free from distraction, disruption, or noise is required
  • Ability to be present on camera during work-related trainings, meetings, and/or events
  • Must be able to sit or stand at a desk for prolonged periods while working on a computer

Nice To Haves

  • Bachelor’s degree in related field preferred
  • Experience supporting executive level individuals preferred

Responsibilities

  • Provide administrative assistance to the Absence Customer Success department
  • Take detailed meeting minutes, organize and schedule meetings, draft agendas, and other administrative functions as requested
  • Support the team with creating data visuals, presentations, printing, and preparing any communication materials
  • Deliver clear and concise messages
  • Write and distribute emails, correspondence memos, letters etc.
  • Listen attentively and ask the necessary questions to confirm understanding for notes
  • Perform data entry in Microsoft Excel, Confluence, and other computer applications
  • Liaise with executive and other administrative assistants to handle requests and queries from other managers/internal departments
  • Run routine reports using specific software (e.g., spreadsheets, reporting tools) based on pre-defined parameters and create basic reports and summaries from the generated data
  • Share reports with relevant personnel and answer basic questions about the data
  • Establish and maintain strong working relationships with team members
  • Provide on-site support for events, including setup, coordination, and day-of logistics
  • Take responsibility for special projects as requested
  • Perform other duties as assigned.
