About The Position

The Voiland College of Engineering and Architecture (VCEA) supports innovative education, research, and industry partnerships that prepare students to solve complex real-world challenges. The Administrative Assistant plays a key role within the Dean’s Office, providing administrative support that helps advance college operations, development activities, personnel processes, and special initiatives. As the Administrative Assistant in the VCEA Dean's office, you will provide professional-level support to the Assistant to the Dean, Development Operations Manager, and Director of Administrative Services. You will help ensure the efficient operation of the Dean’s Office by coordinating projects, supporting personnel activities, and contributing to initiatives that serve faculty, staff, students, donors, and external partners. In this role, you will coordinate complex administrative functions including maintaining records and databases, preparing reports and correspondence, coordinating calendars and meetings, supporting employee onboarding and training activities, and assisting with recruitment and personnel processes. You will also support development and stewardship efforts, serve as a primary point of contact for visitors and inquiries, coordinate college events, and help ensure projects and operational priorities are completed accurately and on schedule.

Requirements

  • High school diploma or equivalent AND three (3) years of clerical, office or administrative experience.
  • An Associate’s degree in business administration, public administration, or a closely related field may substitute for experience.
  • One (1) year of experience as an Administrative Assistant 2 or two (2) years as an Administrative Assistant 1.
  • Equivalent education/experience.
  • Experience and proficiency in Microsoft Office Suite.
  • Demonstrated ability to use and assist with office equipment.
  • Experience working with the public or in a customer service setting.
  • Demonstrated ability to interact effectively with persons of varying levels of responsibility and experience.
  • Experience maintaining hardcopy and electronic records/files.
