About The Position

The Research Branch Administrative Assistant 3 is responsible for providing administrative support to the Research Branch, which includes approximately 22 staff, 3 programs, and 2 remote work units. The Arizona Game and Fish Department manages fish and wildlife in Arizona and under the authority of the Arizona Game and Fish Commission, creates and implements scientific methods and regulations to effectively manage fish and wildlife habitat via conservation, enforcement, hunting, fishing, watercraft and off-highway vehicle recreation, and shooting sports. Responsibilities

  • Greeting visitors and taking calls, providing general information or directing callers or issues to appropriate personnel.
  • Routing correspondence and internal documents, collaborating with Branch staff, others in the Department and outside vendors to coordinate procurement of materials and services required to support Branch activities.
  • Preparing, submitting, and tracking purchase requisitions and associated documents in the State's procurement system.
  • Receiving items and processing invoices into the procurement system.
  • Processing and tracking purchases and expenditures for uniforms and other employee attire items.
  • Making travel arrangements and reservations.
  • Managing one of the Branch's credit cards.
  • Ordering and maintaining general office supplies and office equipment.
  • Maintaining and updating the Branch's literature collection and database; maintaining Branch shared calendar.
  • Assisting with implementation of the branch’s monthly seminar series.
  • Scheduling and coordinating meetings and taking notes.
  • Assisting the Branch's Program and Project Manager with tasks such as records retention, management of archived documents, fixed assets management, fleet management, and maintenance of standard work documents.
  • Performs other duties as assigned.
