About The Position

The Department of Economic Security (DES) is seeking an experienced and highly motivated individual to join their team as an Administrative Assistant 2 within the Division of Developmental Disabilities (DDD). This role provides essential administrative support to the Program Review Committee (PRC) Chair and facilitates information sharing with the Independent Oversight Committee (IOC). DDD is dedicated to providing flexible, high-quality, and member-driven services and supports to individuals with developmental disabilities and their families, fostering opportunities for independence and community engagement. Applicants must not have any licensing, certification, or principal interest affiliations with DDD or its Qualified Vendors.

Requirements

  • Knowledge in HIPPA rules and regulations.
  • Knowledge in Time management principles and techniques.
  • Knowledge in Proper English usage, spelling and vocabulary, and telephone etiquette.
  • Knowledge in Principles and techniques of administrative support functions, such as scheduling, routine email, letter, and memo composition, etc.
  • Skills in Oral and written communication, including being effective with both internal and external customers.
  • Skills in Organizing and managing meetings, committed and high-level work groups.
  • Skills in Perform detailed work with speed and accuracy and possess critical thinking.
  • Skills in Establishing and maintaining effective working relationships and working with diverse groups.
  • Skills in Note-taking and composing meeting minutes.
  • Skills in Using computer applications (full Microsoft Office, Adobe Acrobat, etc.).
  • Ability to Learn and apply Division policy and procedures.
  • Ability to Handle detailed work with accuracy and speed.

  • Ability to Schedule and coordinate meetings.
  • Ability to multi-task.

Nice To Haves

  • At least two (2) years of responsible administrative experience or an equivalent combination of education, training, and experience.

Responsibilities

  • Communicates and interfaces with multiple provider agencies statewide which serve members who have intellectual and/or developmental disabilities and are on Behavioral Treatment Plans.
  • Under PRC Chair direction, sends dispositions via email, fax or USPS.
  • Using a spreadsheet, tracks the member plan through the entire PRC cycle.
  • Assists with scheduling at least weekly the PRC meetings for teams which support numerous members.
  • Attends all face-to-face meetings, possibly takes notes for the disposition of each member's behavior plan, and provides administrative assistance.
  • In preparation for PRC meetings, sends out all schedules, prints and assembles all plans for review.
  • Maintains both hard copy and computer files of all Behavioral Treatment Plans and cooperates with IOC Coordinators to appropriately share information.
