About The Position

The Office Associate will serve as an Administrative Secretary within the Division of Medical Oncology in the Department of Internal Medicine. This role involves coordinating physician calendars, travel plans, and reimbursements, as well as planning and scheduling professional meetings and conferences nationwide. The position requires communication with physicians and other healthcare workers, updating CVs, tracking CME records, typing evaluations, and establishing/maintaining files. Responsibilities also include answering phones and inquiries, performing complex and confidential secretarial duties, and serving as a liaison with faculty, staff, investigators, pharmaceutical companies, and other cancer institutions. The role entails initiating and following up on correspondence, writing or editing various documents, transcribing dictation, preparing correspondence, and managing mail. Additionally, the position provides patient services support and performs other duties as assigned by administration and physicians.

Requirements

  • Six months experience (600 hours training) using computers to generate a variety of materials ranging from basic to complex
  • 6 mos. experience (600 hrs course work) in office practices and procedures
  • 6 months experience (600 hours course work) in customer service
  • Requires successful completion of a background check
  • Candidate may be required to complete a pre-employment physical, including a drug screen

Nice To Haves

  • One year related medical secretarial experience
  • Completion of an associate's degree program with three courses in medical terminology plus 3 mos. experience (300 hours training) in use of word processing equipment, consistent with position description
