Requirements

  • Bachelor’s degree required
  • At least five years of experience in administrative support, office management, hospitality or operations coordination required
  • Proficiency in Microsoft Word, Excel, PowerPoint and Outlook required
  • Strong attention to detail and commitment to quality required
  • A commitment to working on-site at Gallup’s Chicago office up to five days per week required
  • Eligibility to work in the U.S. required; this position is not eligible for employment visa sponsorship

Responsibilities

  • Welcome associates, clients and guests with confidence and hospitality
  • Coordinate client and candidate visits, reflecting Gallup’s premium brand in every in-office experience
  • Anticipate associate and guest needs before they arise and resolve issues with discretion, sound judgment and attention to detail
  • Act as the primary liaison for building management and office vendors, proactively coordinating maintenance, facilities and workplace services to ensure a polished office environment
  • Support Chicago office leadership with scheduling, expense reporting and other administrative priorities
  • Plan and execute internal events and experiences, including town halls, training sessions, social gatherings and community service activities, in partnership with office leadership
  • Coordinate catering for in-office and client events, ensuring seamless service, thoughtful presentation and accommodation of dietary needs
  • Maintain supplies, coordinate mail and packages, and keep shared spaces organized and guest-ready
