About The Position

The City of O'Fallon is seeking a detail-oriented, organized, and customer-focused Administrative and Budget Coordinator to join our Parks and Recreation Department. This role plays a vital part in supporting department operations by providing administrative, budgeting, and purchasing assistance across multiple divisions, including Parks, Landscape, Facilities, Recreation, Renaud Center, Tourism, and Festivals.

Requirements

  • Knowledge of modern office practices and procedures.
  • Familiarity with city payroll processes.
  • Understanding of customer service standards.
  • Knowledge of purchasing, budgeting, and financial policies.
  • Understanding of accepted accounting principles, including governmental accounting.
  • Basic mathematical skills.
  • Proficiency with computers and job-related software.
  • Strong communication skills and the ability to work effectively with the public.
  • High school diploma or GED required.
  • One to two years of relevant administrative, budgeting, or financial experience, or completion of an internship/apprenticeship in a related field.

Responsibilities

  • Serve as the initial point of contact for customer inquiries and concerns.
  • Assist with preparation, tracking, and review of departmental budgets; attend all budget meetings.
  • Research and compile financial data to support monthly budget reviews and annual budget development.
  • Monitor and record expenditures for Parks and Recreation operations.
  • Code invoices, reconcile purchasing card statements, and ensure compliance with City purchasing and financial policies.
  • Maintain electronic files and databases, creating new systems as needed.
  • Support development of purchase orders, ordinances, resolutions, and memoranda.
  • Oversee uniform orders, supply orders, inventories, and shipping/receiving processes.
  • Coordinate meetings, training sessions, travel arrangements, and scheduling of mosquito control services.
  • Assist with employee onboarding and offboarding processes.
  • Draft and prepare correspondence, reports, manuals, and brochures.
  • Create and edit work order requests.
  • Perform additional duties as assigned.
