About The Position

The Administration and Procurement Coordinator will play a key role in providing administrative support and a comprehensive range of administrative services to the Fiji Country Office staff and learners of the Pacific Australia Skills program. This includes, but is not limited to, administration support services, sourcing and procurement, records management, and finance, all while ensuring compliance with Pacific Australia Skills policies and work instructions. Pacific Australia Skills is a significant Australian investment aimed at contributing to social and economic growth in the region by strengthening the skills and training sector across Timor-Leste and the Pacific. It builds upon previous Australian Government support for skills and training in Timor-Leste. Requirements

  • Degree level qualification in related field or post-secondary/TVET qualification with demonstrated work extensive experience preferably in learner administration services, general administration or customer services.
  • Sound understanding and experience working with individuals from diverse backgrounds, specifically adult learners.
  • Proven ability to exercise judgement in the application of policies and work instructions.
  • The possession of a motor vehicle driver’s license is essential.
  • Understanding of and commitment to Gender Equality, Disability and Social Inclusion (GEDSI), Child Protection, Prevention of Sexual Exploitation, Abuse and Harassment (PSEAH), prevention of human trafficking, environmental protection, anti-corruption and other DFAT safeguarding policies.

Nice To Haves

  • Previous extensive experience in Learner administration services in TVET setting and experience in developing Learner support policy and procedures.
  • Experience working with adult students from other Pacific Island nations.
  • Previous experience in international Learner management or scholarship systems.

Responsibilities

  • Accurately and efficiently administer designated functions of the Pacific Australia Skills which may include the following services: Staff amenities, overall office logistics and procurement.
  • Maintaining adequate stock level of stationery, staff amenities, first aid kits and PPEs.
  • Communication, data entry, record management and general administration services.
  • Provide leadership in implementation of administrative and procurement services in the project ensuring their effectiveness, transparency and integrity.
  • Strategically source and negotiate to obtain goods and services that provide the best value for money, confirming receipt and ensuring proper storage.
  • Support the facilities team with cleaning and maintenance of Pacific Australia Skills vehicles and facilities as per established service schedule.
  • Comply with Pacific Australia Skills code of conduct, report OHS incidents and arrange first aid treatment when necessary.
  • As a member of the Pacific Australia Skills team, contribute to integration of Inclusion, First Nations perspectives, environmental considerations and other cross-cutting themes.
  • Other tasks and duties as required to ensure the smooth and effective delivery of Pacific Australia.
