About The Position

The Administration Manager is responsible for overseeing the day-to-day administrative operations of a high-volume intermodal railyard terminal with more than 500 employees. This role serves as the primary administrative resource for terminal leadership, ensuring efficient office operations, effective communication, and exceptional support for employees, vendors, and business partners. The ideal candidate is highly organized, customer-focused, and able to manage multiple priorities in a fast-paced operational environment while maintaining confidentiality and professionalism.

Requirements

  • High school diploma or GED required
  • Three or more years of administrative, office management, operations support, or human resources experience.
  • Experience supporting large workforces in a fast-paced environment.
  • Excellent organizational and time management skills.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Ability to manage multiple priorities while meeting deadlines.
  • High level of professionalism, discretion, and confidentiality.
  • Strong customer service and interpersonal skills.

Nice To Haves

  • Associate's or Bachelor's degree preferred.
  • Experience in transportation, logistics, rail, intermodal, manufacturing, construction, or industrial operations.
  • Experience with applicant tracking systems, or payroll systems.
  • Experience coordinating interviews, onboarding, and employee documentation.

Responsibilities

  • Manage all administrative functions for a large-scale railyard terminal supporting more than 500 employees.
  • Serve as the primary point of contact for administrative inquiries from employees, managers, vendors, and visitors.
  • Answer and direct incoming phone calls, emails, and correspondence in a professional and timely manner.
  • Coordinate and schedule interviews for hiring managers and recruiting teams.
  • Maintain employee files and administrative records while ensuring confidentiality and compliance with company policies.
  • Support employee relations by responding to administrative requests, assisting with documentation, and coordinating follow-up actions.
  • Coordinate communication between terminal leadership, Human Resources, Recruiting, Payroll, and other corporate departments.
  • Maintain office supplies, equipment, and vendor relationships to ensure efficient office operations.
  • Assist with invoice processing, purchase requests, vendor coordination, and administrative reporting.
  • Monitor administrative deadlines and ensure timely completion of required documentation.
  • Perform other duties as assigned.
