As the Administration & Facility Manager, you will play a critical role in ensuring the smooth operation of our facility, grounds, fleet, and equipment. This hands-on leadership position combines facility management, vendor coordination, team leadership, and administrative support to keep our operations running at their best. You'll serve as a key point of contact for facility-related matters, proactively identifying opportunities for improvement, coordinating repairs and maintenance, and helping create a positive experience for employees, visitors, and vendors. Due to the nature of the role, participation in an on-call rotation is required to respond to facility emergencies such as power outages, water leaks, security incidents, and other urgent situations.

Responsibilities

  • Take ownership of the facility, fleet, equipment, grounds, and associated assets, ensuring they are maintained to the highest standards.
  • Develop, implement, and manage preventive maintenance programs to maximize asset reliability and longevity.
  • Identify opportunities for facility improvements and enhancements, seeking alignment and approval when appropriate.
  • Coordinate repairs, renovations, remodeling, and construction projects to ensure quality workmanship, safety, and cost-effectiveness.
  • Perform basic troubleshooting and minor repairs as needed.
  • Manage relationships with contractors, service providers, and vendors.
  • Obtain quotations, coordinate work, and oversee projects from planning through completion and invoicing.
  • Ensure all work is completed in compliance with company policies, local regulations, and safety standards.
  • Provide technical leadership and direct supervision for assigned employees.
  • Support recruiting, onboarding, training, coaching, scheduling, performance management, and disciplinary processes in partnership with the Regional Vice President and People & Culture team.
  • Monitor performance and ensure team objectives and Key Performance Indicators (KPIs) are achieved.
  • Serve as a welcoming and professional first point of contact for vendors and visitors at the front desk and main phone line.
  • Support company events, celebrations, and workplace initiatives in collaboration with People & Culture, the Social Committee, and other stakeholders.
  • Help foster a positive and well-organized workplace environment.
  • Partner closely with the Safety Manager to maintain facility safety compliance and security protocols.
  • Act as one of the primary after-hours contacts for facility security and emergency response.
  • Help ensure a safe, secure, and compliant workplace for all employees and visitors.
  • Perform other duties and special projects as assigned.
