About The Position

This full-time position at Kids Kottage in Reno, NV, involves providing administrative support and coordinating visits. The role requires maintaining personnel files, coordinating training, managing supplies, and handling office duties to ensure the smooth operation of the supervisor's office. A key aspect of the role is scheduling and supervising on-site and virtual visitations, tracking attendance, and communicating pertinent information to caseworkers. The position also involves managing resident privileges, assisting with youth transportation, and fulfilling criteria for Youth Technician and Direct Care Staff Member (DCSM) roles, including passing background checks and required training.

Requirements

  • High School Graduate or equivalent required.
  • At least 2 years’ professional work experience with children or educational equivalent required.
  • Must be able to pass Washoe County Human Service Direct Care Staff Clearance.
  • Must be able to read, write, and communicate effectively.
  • Experience in an office setting, including filing, data processing, answering phones, utilizing online communication platforms and outlook email and calendars.
  • Must meet all Youth Technician criteria.
  • Staff must gain their clearance as a Direct Care Staff Member (DCSM). This includes TB test, drug test (including Marijuana), background investigation, reference check, required training and required immunizations.
  • All staff members must be willing and able to complete restraint certification.

Responsibilities

  • Maintain employee personnel files.
  • Conduct reference checks.
  • Coordinate staff training.
  • Professionally communicate with WCHSA regarding children, records, licensing requirements and personnel records.
  • Conduct inventory of supplies, restock and create shopping lists for purchasing.
  • Review of forms/packets, copy and refill items as needed.
  • Answer incoming phone calls and assist with general office duties to ensure smooth operation of the supervisor office.
  • Schedule visitation and appointments as authorized by WCHSA.
  • Track and collect data on all visit attendance, documenting and communicating pertinent information to caseworkers.
  • Maintain and update resident Privileges and Permissions.
  • Check-in, verify identity, provide period check or supervision when needed for all on-site visits.
  • Manage all virtual visitation utilizing appropriate platforms and media devices.
  • Assist in communicating with and transporting youth to/ from the WCHSA Family Engagement Center as needed.
  • Fulfill all criteria as a Youth Technician.
  • Qualify as a Direct Care Staff Member (DCSM) through Washoe County Human Services Foster Care Licensing.
  • Other duties as assigned.
