About The Position

The Associate/AVP will be responsible for Fixed Asset management, Archive management, and day-to-day administrative duty assigned.

Requirements

  • Bachelor’s Degree required.
  • Minimum 3 years working experience required for Associate level; Minimum 4 years working experience required for AVP level.
  • Admin Support working experience preferred.
  • Bilingual ability (listening, speaking, reading and writing) in both English and Mandarin Chinese, is required.
  • Valid U.S. Driver License required.

Responsibilities

  • Oversee the Bank’s Fixed Assets management, in terms of budgeting, inputting, inventory and processing.
  • Assist on Fixed Asset budget compilation, coordination and execution progress.
  • Assist on Fixed Assets inventory management, in terms of inventory checking and reviewing, record keeping and verification.
  • Oversee the Bank’s annual Fixed Assets inventory checking project, in terms of managing, coordinating and reporting.
  • Corporate vehicle management, including chauffeur service, vehicle inspection and maintenance, vehicle usage log, etc.
  • Expat staff related service support.
  • Assist on the Bank’s delegation reception and itinerary planning.
  • Assist on the Bank’s major event hosting and coordination.
  • Assist on the Bank’s meeting room scheduling and management.
  • Assist on department attendence management.
  • Other temporary tasks assigned by management.
  • Assist on the Bank's Archive Management, in terms of archive consolidation, record keeping, receiving and storage.
  • Manage and organize Central File Storage of the Bank.
  • Assist on the Bank’s offsite document storage site, including request. processing and reviewing, comply with the Bank's record retention policy and destruction requirement.
  • Serve as Record Coordinator of the department, managing data qualify and maintain record as requested.
  • Maintain the department’s physical and electronic records to ensure accuracy, organization, and easy retrieval.
  • Review and provide updates on data and records activities via monthly committee meetings.
  • Manage and update the department’s Record Retention Schedule and ensure compliance with retention policies.
  • Understand regulatory compliance requirements.
