About The Position

This position is responsible for clerical functions and administrative support of food service programs. The role involves answering telephones, maintaining confidential files, assisting management with employment and labor relations documents, and supporting staffing needs. The ideal candidate will work effectively with colleagues, school personnel, administrators, students' parents, and supervisors. Key tasks include managing student eligibility records for free and reduced-price lunches, processing weekly cash sales and meal counts, performing daily bank deposit reconciliation, processing vendor invoices for payment, reconciling vendor statements, and preparing monthly state claim forms for reimbursement. The role also assists in preparing end-of-month financial reports and requires attendance at in-service and/or safety meetings. Maintaining a clean, safe, and efficient work environment is essential.

Requirements

  • Ability to answer telephones and direct inquiries professionally.
  • Skill in maintaining confidential personnel files.
  • Proficiency in assisting management with employment and labor relations documents.
  • Capability to assist with staffing needs, including finding replacement staff.
  • Ability to work effectively and maintain good working relationships with various stakeholders.
  • Accuracy in completing and maintaining records of student eligibility for free and reduced-price lunches.
  • Proficiency in entering weekly cash sales and meal counts using a computer.
  • Ability to perform daily bank deposit reconciliation.
  • Skill in processing vendor invoices for payment, including checking calculations and pricing.
  • Ability to perform monthly vendor statement reconciliation.
  • Proficiency in preparing monthly state claim forms for reimbursement.
  • Ability to assist in the preparation of end-of-month financial reports.
  • Willingness to attend in-service and/or safety meetings.
  • Ability to maintain a clean and safe work environment and perform job safely.

Responsibilities

  • Answer telephones and direct inquiries in a professional and client centric manner.
  • Maintain confidential personnel files.
  • Assist management staff in preparing confidential employment and labor relations documents, including but not limited to proposed disciplinary notices.
  • Assist with staffing, including finding staff when employees call out on short notice.
  • Work effectively and maintain good working relationships with co-workers, school personnel, administrators, student's parents and Supervisor.
  • Complete and maintain accurate and up to date records of students eligible for free and reduced priced lunches if applicable.
  • Enter weekly cash sales and meal counts using computer.
  • Perform daily bank deposit reconciliation.
  • Process vendor invoices for payment - using computer, making sure addition is correct and checking item prices against bid specifications, making sure there is no discrepancy in pricing.
  • Perform monthly vendor statement reconciliation.
  • Prepare monthly state claim form for reimbursement.
  • Assist in preparation of end of month financial reports.
  • Attend in-service and/or safety meetings as required.
  • Maintain clean and safe work environment; ability to perform job safely.
  • Performs other duties as assigned.
