About The Position

Our client, a world leader in semiconductors, is looking for a “Admin Assistant” based out of Milpitas, CA. This is a Long-Term Contract (Possibility Of Extension) role with a rate of $26/hr on W2. We are seeking a highly organized and customer-focused Business Professional – Administrative Assistant I to provide administrative and operational support to our Sales and Service organization. In this role, you will work closely with customers, sales teams, and cross-functional departments to support quotations, purchase orders, revenue collection, customer account management, and service operations. The ideal candidate is detail-oriented, possesses excellent communication skills, and has experience working with SAP/CRM systems in a fast-paced business environment.

Requirements

  • Bachelor's degree in Business Administration, Management, or a related field, or equivalent work experience.
  • Minimum of 2 years of experience in administrative support, sales support, customer service, or business operations.
  • Experience preparing quotations, processing purchase orders, billing, and revenue collection.
  • Strong customer service and relationship management skills.
  • Excellent verbal and written communication skills.
  • Strong organizational, multitasking, and time management abilities.
  • Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook.

Nice To Haves

  • Experience using SAP CRM, SAP ERP, or other CRM platforms.
  • Knowledge of SOX compliance and business process controls.
  • Experience supporting service operations or maintenance organizations.
  • Ability to work effectively in a fast-paced, deadline-driven environment.
  • Experience preparing reports and supporting business analytics.

Responsibilities

  • Provide administrative support to Sales, Service, and Operations teams to ensure efficient day-to-day business operations.
  • Serve as a primary point of contact for customers, responding to inquiries via phone and email while maintaining strong customer relationships.
  • Prepare and process customer quotations, purchase orders (POs), and sales documentation accurately and in a timely manner.
  • Coordinate with internal departments to support maintenance service sales and ensure customer requirements are met.
  • Maintain accurate customer records, installed base information, and service activities within SAP CRM or other CRM systems.
  • Track and support revenue collection activities while ensuring compliance with SOX (Sarbanes-Oxley) business processes.
  • Assist with billing, invoicing, contract administration, and revenue reporting to support quarterly and annual business objectives.
  • Generate reports, analyze service and sales data, and provide updates to management.
  • Document customer equipment issues and coordinate with appropriate teams to facilitate timely resolution.
  • Support peak business periods, including month-end, quarter-end, and year-end activities.
  • Ensure all administrative documentation is complete, accurate, and maintained according to company policies.
  • Perform additional administrative and operational duties as assigned.
