About The Position

Romexterra Restoration is a leading name in the construction industry, specializing in top-quality restoration and renovation services. We're committed to excellence and customer satisfaction, and we're looking for dedicated professionals to join our dynamic team. Position Overview: We're seeking an upbeat, welcoming presence for our in-office front desk. Someone who brings a warm, bubbly vibe and is happy to be on-site, engaging with everyone. The Admin Assistant w ill serve as the welcoming face of Romexterra Restoration, ensuring that all guests and callers receive a positive first impression. This role is an in-person role, Monday through Friday, from 8 am - 5 pm in Addison, IL. This role also provides essential ad ministrative support, including managing company vehicles, coordinating with vendors, and handling office-related tasks to keep operations running smoothly.

Requirements

  • Previous Admin Asst exp. is a plus
  • Previous experience in Restoration is a plus, but not a must
  • English fluency (Spanish is a plus)
  • Proficiency in Google Workspace (Google sheets and Google Docs)
  • Good attention to details
  • Authorization to work in the USA is required; employer sponsorship is not available for this position

Responsibilities

  • Greet and welcome clients, vendors, employees, and visitors in a professional and friendly manner
  • Direct visitors to the appropriate department managers or staff
  • Clerical responsibilities: printing, scanning mail, sending files, and updating office inventory
  • Answer, screen, and forward incoming phone calls promptly and courteously
  • Coordinate with internal departments to ensure messages and inquiries are directed appropriately.
  • Support HR, Operations, and Management teams with occasional projects.
  • Update Subcontractor list and files, make sure information is up-to-date and matches our requirements
  • Add new jobs to our CRM (Albi) and Job Board once information from the call is received
  • Handle rebates appropriately (Home Depot and Menards)
  • Update company licenses across the cities and villages where we provide services
  • Manage company vehicle records, including registrations, insurance documents, and vehicle stickers
  • Assist and complete additional tasks assigned by the Manager
