About The Position

Arts Umbrella is where young artists ages 2–22 cultivate their creativity in Art, Design, Dance, Theatre, Music, and Film. As a non-profit organization for arts education, we believe that art is powerful. Powerful enough to change a child’s life in incredible ways. When young people connect with the arts, they gain self-confidence, develop self-discipline, and discover creative expression—qualities they carry with them for life. Arts Umbrella has four locations in Vancouver and Surrey, as well as donor-funded programs at schools, community centers, neighborhood houses, and healthcare facilities across Metro Vancouver. We serve 24,000 young people every year, with 80% participating at little to no cost. In April 2021, Arts Umbrella moved into a new home on Granville Island. Reporting to the Artistic Director, Theatre, Music and Film, the Admin Assistant, Theatre, Music and Film plays a key role in supporting the programming and administrative functions of the Theatre, Music and Film department.

Requirements

  • Proven experience with MS Office products (Word, Excel, Outlook)
  • Excellent communication skills, both written and oral
  • Demonstrate ability to be organized, self-motivated, assertive, and capable of working with minimal supervision with a high degree of attention to detail
  • Proven ability to operate well in a collaborative, high energy, dynamic work environment
  • Strong multi-tasking skills and ability to prioritize
  • Ability to deal with a diversity of people in a calm, courteous, and effective manner
  • Experience with ActiveNet, HRIS, or other database and information systems is considered an asset.
  • Previous Experience working with children and/or youth is an asset

Responsibilities

  • Assist the general administrative functions of the department including assisting with instructional staff attendance and substitutions
  • Provide consistent communication to instructional staff on routine items
  • Respond to related e-mails, in-person, or telephone inquiries
  • Assist with scheduling, database entry, and proofing, ensuring accurate scheduling records
  • Work as a part of the team in implementing Arts Umbrella’s unique and creative vision and communicate this to students and parents
  • Report any unsafe conditions, practices Performs related duties in keeping with the purpose and accountabilities of the job
