About The Position

This role provides comprehensive administrative support to the Associate Dean and department chairs within the School of Music, Theatre, and Dance. The Administrative Assistant will manage calendars, organize course schedules, assist with student registration, and oversee various administrative functions to ensure smooth operations. A key responsibility includes supervising student office staff who handle reception and general office management.

Requirements

  • High School Diploma and 3 years administrative experience.
  • Excellent organizational, leadership, supervisory, and project management skills.
  • Strong interpersonal and communication skills.
  • Ability to work and interact respectfully within a diverse and inclusive environment.
  • Solid working knowledge of various word processing, spreadsheet, and database software applications.
  • Ability to handle sensitive and confidential information.

Responsibilities

  • Provide primary administrative support to the associate deans and department chairs.
  • Serve as the primary point of contact for visitors, faculty, staff, and students, directing individuals to appropriate resources.
  • Coordinate unit-level meetings, including preparation of materials and logistical support.
  • Support space and event scheduling needs, including input into institutional scheduling systems as needed.
  • Organize and support course scheduling activities, including course restrictions and related coordination.
  • Provide registration assistance to students and faculty.
  • Collect, organize, and archive course syllabi.
  • Support faculty administrative workflows, including survey creation and data collection.
  • Coordinate and support audition, review, recital, and jury processes.
  • Support student statements, tours, and field trips as needed.
  • Provide administrative support for summer programming initiatives.
  • Manage faculty and staff mail, shared spaces, break rooms, and office supplies.
  • Coordinate faculty and staff office needs, including supplies and phones.
  • Maintain and manage systems for checking in/out shared resources and equipment.
  • Recruit, hire, onboard, train, and supervise student office staff.
  • Oversee student employee scheduling and performance to ensure effective front office operations.
  • Perform other duties as assigned in support of School operations.
