Requirements

  • Computer literate with knowledge of Quickbooks, Excel, Word, and MIcrosoft Teams.
  • Possesses a team player mentality.
  • Communicates in a friendly and professional manner to customers, vendors, and employees through phone calls, emails and text messages.
  • Communicate with customers in a way that expresses knowledge about our services and our membership plans.
  • Ability to learn multiple tasks and responsibilities.
  • Prioritization is a key skill.

Nice To Haves

  • Service Titan experience is preferred but not required.
  • Quickbooks data entry of Vendor bills, invoicing, payments and report generation experience is preferred, but not required.
  • HVAC technical awareness is preferred but not required.

Responsibilities

  • Answer the phone quickly and professionally.
  • Take action immediately on any customer requests and follow it through to the solution.
  • Create and review invoices.
  • Process paperwork for new installs including warranty registrations and rebate applications.
  • Participate in and oversee numerous administrative responsibilities.
  • Maintain detailed notes and follow up on all service requests, both internal and external in a timely manner.
  • Update every customer’s Service Titan account (CRM system) for each customer interaction.
  • Accurately capture all new customer information in the CRM system.
  • Follow up on all leads, proposals, and potential sales until closed or dismissed.
  • Make cold calls to current and prospective customers on service and maintenance specials.
  • Schedule service and sales appointments with customers and assign the appropriate staff to perform the work.
  • Maintain service agreement contracts for renewals and scheduling.
  • Adhere to schedule optimization techniques determined by the seasonality of the business.
  • Independently oversee and determine solutions to customer issues.
  • Perform Quickbooks data entry of Vendor bills, invoicing, payments and report generation.
  • Continuously develop HVAC technical awareness.
