About The Position

The School of Medicine Research (SOMR) seeks a professional, customer-focused, highly organized multi-tasker to fill the position of Administrative Assistant III. This front office position requires someone with excellent communication and customer service skills and the ability to represent the department in a friendly, professional manner. This position works closely with office leadership and staff to provide front desk support, which includes assisting students and visitors, and resolving or referring a range of administrative inquiries. Administrative support will include purchasing, P Card transactions, Chrome River reconciliations, specialized record-keeping, support activities, room reservations, event logistics, answering phones & emails, assisting and resolving problems/inquiries of visitors, Banner entries, calendar management, agenda preparation, meeting scheduling, travel arrangements, correspondence, recording & transcribing meeting minutes, document tracking and other assignments related to executive level support. Must have excellent customer service skills and professional demeanor.

Requirements

  • High school diploma or GED.
  • At least 5 years of experience directly related to the duties and responsibilities specified.
  • Excellent communication and customer service skills.
  • Ability to represent the department in a friendly, professional manner.
  • Professional demeanor.

Nice To Haves

  • Prior experience in customer service or professional office setting.
  • Knowledge of UNM policies, procedures and systems which include Banner, Chrome River, MyReports, LoboMart, PCard, Cascade.
  • Knowledge of special events planning and catering procedures.
  • Ability to understand and follow specific instructions and procedures.
  • Exceptional attention to detail and a proven ability to navigate and work with cumbersome data-gathering processes.
  • Word processing and/or data entry skills.
  • Records maintenance skills.
  • Ability to create surveys and collect assessment data.
  • Knowledge of FERPA requirements.
  • Ability to ask for clarification or additional information when needed.

Responsibilities

  • Provide front desk support, assisting students and visitors.
  • Resolve or refer a range of administrative inquiries.
  • Handle purchasing and P-Card transactions.
  • Perform Chrome River reconciliations.
  • Manage specialized record-keeping and support activities.
  • Handle room reservations and event logistics.
