About The Position

In this legal assistant role, you will be working for a team of three lawyers or more practicing in litigation, which implies a large volume of files. Amongst other things, the legal assistant will prepare legal documents including letters and proceedings, carry out a variety of tasks related to the lawyers’ practice areas, as well as organize and update client and lawyer files, in addition to managing lawyers’ calendars and their client contact lists. This position requires the incumbent to work on site at the Montreal office 2 to 3 days, contingent upon evolving business needs. This position is a support role which is overtime eligible. A significant portion of this role would be impossible to accomplish without intermediate-level English skills, both written and spoken, as the incumbent will interact and collaborate regularly with certain clients whose business language is English, particularly through the preparation, updating, and revision of documents written in English and case follow-ups with English speakers. Furthermore, our legal assistants work within expanded practice groups and systematically replace each other with lawyers whose activities require the use of spoken and written English. In the normal course of office operations, the incumbent will also collaborate with our legal and administrative support services whose employees are located elsewhere in Canada and the United States.

Requirements

  • A Diploma of Secretarial Studies (DEP) or a Diploma of College Studies (DEC) in administration, legal studies or a combination of equivalent education and experience.
  • Minimum of 3 to 5 years of relevant experience as a legal assistant in litigation, along with a knowledge of legal terminology and procedural rules.
  • Bilingualism required, French and English, in order to write and communicate correctly and efficiently in both languages, according to the nature of the files that the lawyers are working in.
  • Experience in supporting a team of 3 lawyers or more and ability to manage a high volume of files simultaneously.
  • Excellent knowledge of Microsoft Office, especially Word, Excel, Power Point and Outlook at an intermediate or, ideally, advanced level.
  • Rigor, attention to detail and strong organizational skills.
  • Very skilled at working in a computerized environment (with varied software) and a good aptitude for learning new software tools.
  • Ability to work remotely in a well-organized and productive fashion.
  • Client-oriented focus; team spirit and ability to collaborate on a daily basis; tact and discretion.
  • Professionalism and excellent interpersonal skills.
  • Quick learner, proactive and a strong sense of initiative.

Nice To Haves

  • Some knowledge of insurance law would be an asset.

Responsibilities

  • Preparing standard litigation proceedings.
  • Managing litigation deadlines, entering delays and updating the calendar.
  • Reviewing documents and correspondence to ensure compliance with legal procedures and correct grammatical usage.
  • Opening files, filing (both paper and electronic), tracking and organizing case files.
  • Managing overall communications, including phone calls, email and other correspondence.
  • Organizing and coordinating meetings between lawyers, clients and other stakeholders as needed.
  • Preparing files for meetings or hearings (correspondence, supporting documents, etc.).
  • Carrying out other relevant tasks as required by new or emerging business needs.
