About The Position

Claria is a private investment company based in downtown Montreal, active in the management of a diversified real estate investment portfolio. Claria is also a developer, owner, and manager of high-quality residential real estate projects. We are seeking a highly organized, proactive, and customer service-oriented Administrative Assistant to support the Property Manager of Astoria Laval, a luxury residential rental property of approximately 340 units. The successful candidate will play a key role in supporting the daily administrative and operational activities of the property while contributing to an exceptional resident experience.

Requirements

  • DEC, AEC, or relevant education in administration, real estate, office management, or a related field
  • Minimum of 2 years of experience in administration, residential real estate, hospitality, or customer service
  • Experience working in or supporting luxury residential buildings of 300 units or more
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Professional, positive, and customer-focused attitude
  • Excellent communication skills in both French and English, written and spoken
  • Strong knowledge of Microsoft Office (Word, Excel, Outlook)
  • Proficiency with Yardi is essential
  • Strong sense of initiative, autonomy, and teamwork

Nice To Haves

  • Experience with property management platforms such as Building Stack is considered an asset

Responsibilities

  • Provide daily administrative support to the Property Manager
  • Respond to resident inquiries, calls, and emails in a professional and timely manner
  • Handle administrative follow-ups related to leasing, lease renewals, and tenant files
  • Prepare leases, notices, resident communications, and various administrative documents
  • Enter and maintain accurate information in Yardi
  • Assist with rent collection follow-ups, payments, arrears, and tenant administrative records
  • Prepare and organize files and documentation for TAL cases and hearings
  • Coordinate service requests, maintenance follow-ups, and communications with suppliers and contractors
  • Schedule visits, inspections, move-ins, and move-outs
  • Support high-volume move-in coordination during project delivery and stabilization phases
  • Support resident events and community initiatives within the property
  • Help maintain the high standards of presentation, service, and resident experience associated with the project
