About The Position

The Accounts Receivable (AR) Specialist is responsible for managing the full cycle of customer billing, collections, account reconciliation, and compliance activities. This role ensures accuracy in customer invoicing, adherence to contractual terms and conditions, and timely resolution of discrepancies. The AR Specialist collaborates closely with internal teams, including Sales, Finance, and Legal, to ensure that all customer accounts are compliant and that revenue is properly recorded.

Requirements

  • Bachelor’s degree in Accounting, Finance, Business Administration, or related field (preferred).
  • 2–4 years of experience in Accounts Receivable or a similar finance role.
  • Strong understanding of contract terms, billing structures, and compliance requirements.
  • Excellent analytical, reconciliation, and problem‑solving skills.
  • High attention to detail and organizational excellence.
  • Proficiency in ERP or accounting software (e.g., NetSuite, SAP, Oracle, QuickBooks); experience with compliance modules is a plus.
  • Strong communication skills and ability to collaborate cross‑functionally.

Responsibilities

  • Generate and issue accurate customer invoices in alignment with contract terms, milestones, and billing schedules.
  • Validate billing data for accuracy, completeness, and compliance prior to submission.
  • Reconcile AR accounts monthly, ensuring that all payments, credits, adjustments, and outstanding balances are correctly reflected.
  • Investigate and resolve discrepancies between customer accounts, internal records, and payment activity.
  • Maintain detailed documentation of reconciliations and corrective actions.
  • Review and analyze customer contracts, purchase orders, and agreements to ensure billing accuracy and compliance with negotiated terms and conditions.
  • Identify and flag any non-compliance issues related to pricing, deliverables, payment schedules, or service-level requirements.
  • Maintain up-to-date contract records and ensure that any amendments or changes are properly reflected in the billing system.
  • Monitor customer adherence to contractual obligations, including payment terms, required documentation, and service usage conditions.
  • Communicate proactively with customers regarding outstanding requirements, missing documents, or non-compliance issues.
  • Partner with Sales and Legal teams to resolve customer compliance disputes and ensure alignment with company policies.
  • Manage collection activities to ensure timely payment of outstanding invoices.
  • Communicate professionally with customers to address questions, provide supporting documents, and resolve payment issues.
  • Escalate delinquent accounts to management as needed.
  • Prepare AR aging reports, cash forecasting, and compliance summaries for management review.
  • Track KPIs such as DSO (Days Sales Outstanding), overdue balances, and compliance trends.
  • Recommend enhancements to AR processes, reconciliation steps, or compliance workflows to increase efficiency and accuracy.
  • Assist with system updates, automation initiatives, and internal audits.
