About The Position

We invite you to join the world of luxury hospitality at the Fairmont Grand Del Mar, as our new Accounts Receivable Coordinator. The Accounts Receivable Coordinator will be responsible for managing the hotel’s accounts receivable functions, ensuring accurate and timely billing, collections, cash applications and group reconciliations. This position works closely with Front Office, Sales, Catering and other hotel departments to resolve billing issues. Communicate with guests and clients regarding collection issues, contribute to monthly Credit Meeting preparation, attend weekly resume meetings, and attend pre-con meetings as needed. Handle all FIT, Golf, Catering Event Billings and assist with Group Billing. Monitor accounts receivable aging and follow up on outstanding balances. Post and apply payments accurately to customer accounts including credit cards, checks, ACH and others Research and follow up on guest disputes and credit card chargebacks. Collect and post advance deposits for upcoming events. Support membership billing when necessary. Communicate with Sales and Catering regarding group billing, deposits and final invoices. Ensure all billing and collection activities comply with hotel policies and internal controls. Assist with audits by providing requested documentation and financial records Assist with various special projects as assigned by the Assistant Director of Finance/Chief Accountant.

Requirements

  • Background in accounting and proficient knowledge of computer programs.
  • Customer service oriented.
  • Able to communicate with customers on a professional level.
  • Proficient in computer programs, such as Accounting programs and Microsoft Office (excel, word, etc.).
  • Prior accounting experience is required.
  • Ability to communicate both verbally and written in English.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from managers, clients, customers, and vendors.
  • Ability to communicate to customers in a professional, business-like manner.
  • Applicants must be legally eligible to work the United States.

Nice To Haves

  • Hotel experience preferred but not required.
  • Experience with hotel accounting systems and property management systems preferred.
  • Customer Service experience is preferred.

Responsibilities
