About The Position

We are seeking a diligent and detail-oriented Accounts Payable Representative to join our team. The ideal candidate will be responsible for managing and processing invoices, handling vendor communications, and supporting the financial operations of our company. This role requires a strong understanding of accounts payable processes, excellent organizational skills, and the ability to work closely with various departments.

Requirements

  • 1+ years of experience in Accounts Payable.
  • Proficiency in invoice processing and vendor management.
  • Knowledge of two-way matching required
  • Proficient Excel skills, including pivot tables, sorting, filtering, and data entry.

Responsibilities

  • Process 40-50 invoices per day with accuracy and efficiency.
  • Answer calls on the Purchase Order Hotline.
  • Enter trade payables into the accounts payable system.
  • Manage purchases on company credit cards.
  • Research and resolve issues related to purchase orders.
  • Create and link purchase orders to work orders and construction jobs.
  • Enter parts onto service work orders and input invoices into accounts payable.
  • Conduct vendor invoice research and follow up with vendors and subcontractors who have not yet billed.
  • Match vendor invoices to paid details and enter construction invoices into accounts payable.
  • Understand and manage progress billing.
  • Process checks and credit card payments to vendors.
  • Place orders with vendors and manage incoming and outgoing mail.
  • Work closely with the CFO to support financial operations.
  • Assist with construction job costing and overhead processing.
  • Educate team members on financial issues and solutions.
  • Cover front desk duties on a rotation basis, three times per day.
