About The Position

The Accounts Payable Associate provides essential administrative and transactional support to the Finance and Accounting team. This entry-level position is responsible for performing routine clerical duties, data entry, and basic financial tasks with accuracy and timeliness. The role is ideal for individuals beginning their career in finance or accounting and offers opportunities to learn and grow within the department.

  • Ability to maintain effective working relationships with all team members (accounting department, shipping department, suppliers)
  • Effective communication and interpersonal skills.
  • Proficient in Microsoft applications (Excel, Word, etc.), and able to learn new systems quickly
  • High school diploma required or equivalent years of applicable experience
  • Accounts Payable: 1-2 years (Required)

Nice To Haves

  • Associate's degree preferred
  • ERP experience, QuickBooks is a plus

Responsibilities

  • Perform accurate data entry and assist with processing invoices, conducting 3-way matching and entering expense reports into accounting system (QuickBooks).
  • Facilitate the vendor set-up process ensuring the completion of key profile details, credit applications and document handling like W9 and banking information.
  • Conduct supplier invoice auditing to verify accuracy, compliance with contract terms, and proper cost allocation.
  • Prepare basic reports and spreadsheets using Excel or other tools to monitor vendor relationships and maintain clean vendor records.
  • Reconcile and monitor vendor statements on a routine basis.
  • Maintain organized financial records and filing systems (electronic) including the AP Inbox and SharePoint documents.
  • Monitoring AP phone calls and emails when vendors have questions.
  • Collaborate with team members to support departmental goals and deadlines.
