That kind of reputation is built by passionate people who know how to sell not just a product, but a story. We're looking for a detail-oriented Accounts Payable Assistant to join our Finance team. Reporting to the Assistant Manager of Accounts Payable, this hybrid role plays an important part in maintaining accurate and timely payment processing, supporting vendor relationships, and ensuring the integrity of our financial operations. This position is based out of our Fairfield, NJ headquarters, with an expectation to work onsite at least three days per week.

Requirements

  • Bachelor's degree in Accounting, Finance, or a related field preferred.
  • Previous accounts payable, accounting, or finance experience preferred.
  • Understanding of basic accounting, bookkeeping, and financial principles.
  • Strong attention to detail with excellent organizational and time management skills.
  • Ability to manage multiple priorities while maintaining accuracy.
  • Strong verbal and written communication skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Proficiency with Microsoft Excel and other business systems.

Responsibilities

  • Process vendor invoices accurately and timely while ensuring proper coding and documentation.
  • Review and reconcile vendor statements, identify discrepancies, and partner with internal teams to resolve issues.
  • Support weekly check, ACH, and wire payment processes.
  • Assist with preparing and maintaining payment documentation and records.
  • Help manage international vendor payments and maintain supporting schedules.
  • Review and process employee expense reports for compliance with company policies.
  • Communicate with vendors regarding payment status, account inquiries, and invoice discrepancies.
  • Assist with 1099 preparation and year-end reporting activities.
  • Generate and analyze accounts payable reports to support accurate financial management.
  • Collaborate with Finance, Supply Chain, Logistics, Sales, and IT teams to ensure smooth operations.
