About The Position

This is a bookkeeping and accounting position in the Sheriff's Office, involving keeping accounts of and tracking monies entrusted to the department. Employee works under moderate supervision of the Chief Deputy and Office Operations Supervisor and exercises independent judgment after having learned the job duties.

Requirements

  • Knowledge of the principles and processes of bookkeeping and the principles of budgetary accounting.
  • Ability to input, access and retrieve information on a computerized system, and produce accurate computerized records, reports and spreadsheets.
  • Ability to make decisions in accordance with laws and policies.
  • Ability to make rapid mathematical computations either manually or by machine.
  • Skills and ability in the operation and care of calculating machines, computers, copiers and other office equipment.
  • Knowledge of up-to-date office methods, machines and procedures. Ability to enter data accurately and efficiently.
  • Ability to compose office correspondence.
  • Ability to work with the public to answer questions, give oral and sometimes complex directions, take complaints, refer to proper departments, explain procedures.
  • Ability to work with confidential matters and maintain confidentiality.
  • Associate Degree in Accounting, Finance, Business or related.
  • Experience in financial record-keeping including accounts payable, accounts receivable and cash receipting.
  • Excellent organizational and analytical skills. Meticulous attention to detail.
  • Proven proficiency and expertise in using Excel spreadsheets, MS Word and MS Outlook.
  • Must have good character and pass background check acceptable for working in law enforcement and be bondable.

Responsibilities

  • Collects inmate monies each day and prepares daily deposit.
  • Issues checks to inmates upon their release on a daily basis of any monies remaining in that inmate's account.
  • Maintains accounting records of monies received and disbursed for Civil Process, and all prisoners in accordance with prescribed statutes rules, regulations and procedures.
  • Prepares and reconciles statements, claims, invoices, receipts, inventories, disbursements, refunds.
  • Posts to ledger accounts; takes trial balances; prepares month-end balances, month-end reports and refunds; checks expense accounts and other records; balances and deposits monies.
  • Checks departmental accounts for accuracy.
  • Keeps records on multiple computerized systems; accesses, inputs and retrieves data on multiple manual and computerized systems; makes reconciliation of multiple accounts with detailed records and makes reports.
  • Answers phone, types correspondence, files information relating to above duties.
  • In this public service position, employee is required to be courteous, cooperative and respectful at all times, with the public and clients. Also establishes and maintains a courteous, cooperative and respectful working relationship with other employees, supervisors and public officials.
