This role supports our accounting department as well as serves as the primary coordinator for office administration. Requirements

  • Have 2+ years of experience in accounting support, bookkeeping, and/or office administration
  • Hands-on experience with accounts payable (AP) and reconciliations
  • Be proficient with QuickBooks Online or comparable accounting software
  • Have a high school diploma or equivalent
  • Be 21 years of age or older
  • Have a clean criminal record (no felony convictions)
  • Be legally authorized to work in the United States

Nice To Haves

  • Associate’s degree in Accounting, Business, or related field preferred

Responsibilities

  • Enter accounts payable invoices into QuickBooks Online (QBO)
  • Upload payroll journal entries into QBO
  • Perform credit card and WEX fuel card receipt tracking and reconciliations
  • Track AP schedules and assist with timely vendor payments
  • Prepare and mail checks
  • Deposit checks and maintain deposit records
  • Assist with payroll processing and union-related documentation
  • Maintain organized accounting files and records
  • Serve as front-desk and primary office contact
  • Manage vendor relationships and purchasing for office accounting needs
  • Coordinate office supplies, uniforms, and equipment
  • Maintain key control, key fobs, access control, and property information
  • Manage office phone list, holiday schedule, name plates, and HQ parking validation
  • Coordinate copier usage and maintenance
  • Manage incoming/outgoing mail, deliveries, and lost & found
  • Maintain first-aid supplies and general office readiness
  • Act as a building ambassador and first point of contact
  • Assist with office events and internal coordination
  • Distribute company memos and communications
  • Support emergency procedures and office protocols
  • Provide general customer service support and phone coverage
