About The Position

The accounting clerk performs general accounting functions as directed by the controller, participates in accounting and quality audits, assists purchasing department, and completes additional duties as requested.

Requirements

• Prior experience in office environment.
• Minimum of Associate Degree and/or equivalent
• Proficient in computer software products, Excel, Word, and Outlook.
• Excellent oral communication, problem solving skills and a creative thinker.
• Must be organized and detail oriented.
• Ability to problem solve in an effective manner.
• Ability to prioritize daily demands to meet operational requirements.
• Ability to interact and communicate throughout all operational levels to understand purchasing requirements and operational needs.
• Ability to clearly and concisely communicate both verbally and in written form internally and externally with suppliers.
• Ability to understand and analyze information and develop recommendations for operational improvements.
• Basic understanding of accounting principles.
• Must have patience, attention to detail, and willingness to learn.
• Must exhibit unwavering integrity.

Responsibilities

• Maintain a safe working environment and a commitment to safety excellence.
• Assist in the processing of all accounts payables and receivables.
• Provide assistance to the VP Finance and Controller in planning, budgeting, and forecasting of operational results.
• Validate accuracy of account numbers.
• Audit vendor bills for accuracy and comparison to budget.
• Process bills using accounting Solomon software and excel spreadsheets.
• Assist in the preparation of employee payroll.
• Assist in the reconciling and balancing of the G/L Accounts.
• Assist in posting monthly, quarterly and yearly accruals.
• Maintain the accuracy of Account Payable vendor files.
• Inputting customer payments into Solomon ensuring proper payment of invoice.
• Maintain the accuracy of Accounts Receivable vendor files.
• Assist the VP Finance and Controller in participating in internal audits within the company and inventory control.
• Assist the VP Finance and Controller in the preparation of materials for the Company’s Board and Audit Committee as needed.
• Assist in the monthly close process as directed by the company Controller.
• Provide additional duties as directed by the Controller.
• Responsible for entry of approved purchase requests into ERP purchasing module.
• Responsible for vendor master record entry and maintenance in system.
• Perform item master validation and pricing verification on purchase requests.
• Communicate purchase orders to suppliers in approved formats.
• Responsible for timely management of online purchasing with approved suppliers.
• Work under the direction of the Purchasing Manager to resolve supplier delivery problems and facilitate open lines of communication between suppliers and internal parties.
• Maintain and provide sales-tax exemption certificates as needed, in conjunction with the Controller.
• Resolve quantity and invoice discrepancies with suppliers under the direction of the Purchasing Manager and the Accounts Payable Office.
• Perform other duties as may be required from time to time.
• Receives incoming calls in a professional manner and properly re-directs them to the appropriate employee.
• Greets all visitors and customers, and announces their arrival to the appropriate person.
• Provide visitors with a visitor badge and maintains sign in records.
• Receives, distributes and collects incoming/outgoing mail.
• Hand out employment applications to candidates upon request.
• Audits and orders necessary office supplies.
• Organizes and sets up all company lunch meetings as requested.
• Prepares materials for various company meetings, including meetings of the Board of Directors.
• Maintains the accuracy of the Presidents calendar.
• Provide administrative support to all departments as requested.
