About The Position

This role involves a variety of accounting and payroll functions. Key responsibilities include reconciling cash accounts, processing payroll, preparing payroll reports (941s, W-2s), and managing records for various programs such as the lunch program, flexible spending accounts, and grants. The position also handles preschool tuition billing, accounts receivable, and assists with fiscal year-end processes, fixed asset inventories, and the annual audit. The accountant/payroll specialist will ensure compliance with state-mandated uniform chart of accounts and perform other duties as assigned by the Finance Director and/or Superintendent of Schools.

Requirements

  • Proficiency in reconciling cash accounts to bank statements and accounting records.
  • Experience in processing payroll.
  • Ability to process quarterly and annual payroll reports (941s, W-2s).
  • Experience maintaining records for programs like lunch programs and flexible spending accounts.
  • Ability to approve claims, verify student enrollments, and verify bank records.
  • Experience reviewing and approving free and reduced food service applications.
  • Experience managing tuition billing and accounts receivable.
  • Experience with RI Medicaid Administrative Activity Claim and TIAA/CREF reimbursement filing.
  • Ability to perform retirement reconciliation.
  • Experience with fiscal year-end General Ledger and Payroll database rollover.
  • Experience assisting with Fixed Asset Inventories and inspections.
  • Knowledge of Purchasing, Accounts payable, Payroll, and Human Resources functions.
  • Experience assisting with annual year-end audits and providing documentation to auditors.
  • Understanding of state-mandated uniform chart of accounts (UCOA).
  • Ability to perform other duties as assigned.

Responsibilities

  • Reconcile all cash accounts to bank statements and accounting records.
  • Process payroll as necessary and assist the payroll clerk with all functions.
  • Process quarterly and annual payroll reports, including 941 and W-2s.
  • Maintain records of the lunch program.
  • Approve claims, verify student enrollments, verify bank records, and conduct onsite audits for the lunch program.
  • Review and approve all free and reduced food service applications.
  • Review and submit information for the Fresh Fruits and Vegetable Grant claim.
  • Manage all Preschool tuition billing and accounts receivable functions.
  • Maintain records and balance activity for the Cumberland School Department’s flexible spending account.
  • Process Quarterly RI Medicaid Administrative Activity Claim.
  • Process Quarterly TIAA/CREF reimbursement filing at RIDE.
  • Perform retirement reconciliation from payroll processing to payments submitted to ERSRI.
  • Assist with fiscal year-end General Ledger and Payroll database rollover.
  • Assist Finance Director in Fixed Asset Inventories, including maintaining the fixed asset ledger and conducting onsite inspections.
  • Work with Purchasing, Accounts payable, Payroll, and Human Resources to resolve issues impacting the accounting function.
  • Assist with the annual year-end audit process and provide documentation, reports, and analyses to the outside auditing firm.
  • Monitor activity to ensure account codes are in compliance with the state-mandated uniform chart of accounts (UCOA).
  • Perform other duties as assigned by the Finance Director and/or Superintendent of Schools.
