About The Position

Santa Clara Catholic Academy, a Catholic educational institution committed to academic excellence and spiritual development, is seeking a highly organized and detail-oriented Accountant / Business Manager to join our team. This role is vital in supporting the Principal by managing all financial operations of the school, including accounting, payroll, tuition, financial aid, and employee benefits. The ideal candidate will be mission-driven, possess strong accounting skills, and demonstrate a high level of professionalism and discretion while interacting with families, staff, and diocesan personnel.

Requirements

  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field preferred.
  • Proficiency in QuickBooks and FACTS Tuition Management System (or similar platforms).
  • Experience in non-profit or school accounting is a plus.
  • Strong organizational, analytical, and communication skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Commitment to the mission and values of Catholic education.
  • Bilingual preferred

Responsibilities

  • Serve as a welcoming and professional point of contact for parents, students, and visitors.
  • Answer phones and intercom with courtesy and efficiency.
  • Provide prompt assistance to inquiries and direct communication to the appropriate departments.
  • Process biweekly payroll.
  • Manage accounts payable and receivable using QuickBooks.
  • Post deposits, reconcile bank accounts, and maintain vendor files.
  • File and track paid bills and prepare regular financial reports.
  • Support budget development and implement cash-handling procedures for school events and volunteers.
  • Finalize tuition agreements and ensure family enrollment in FACTS system.
  • Monitor and collect tuition payments; manage delinquencies through timely follow-ups.
  • Reconcile tuition balances between FACTS and QuickBooks.
  • Maintain up-to-date financial aid records and reconcile with diocesan data.
  • Close monthly and yearly books according to diocesan timelines.
  • Prepare monthly financial statements and cash flow analyses for the Principal and school boards.
  • Assist in annual financial reviews and collaborate with external auditors.
  • Submit required reports to the Diocese and attend Diocesan Business Manager meetings.
  • Manage preparation of W-2s, 1099s, raffle tax documentation, and donation tracking.
  • Maintain accurate and organized accounting files, contracts, and warranties.
  • Administer group insurance and retirement plans.
  • Track staff attendance and maintain personnel files.
  • Address HR-related issues in accordance with school and diocesan policies.
  • Monitor and follow up on tuition delinquencies weekly.
  • Support fundraising activities in line with diocesan guidelines.
  • Attend finance and school board meetings as needed.
  • Perform other duties as assigned by the Principal.
