About The Position

As an Account Coordinator, you will be the operational backbone of our Customer Experience team, owning the end-to-end coordination of customer orders from intake through delivery. You'll manage a portfolio of active accounts, keep customers informed and confident at every stage, and serve as a trusted point of contact both internally and externally.

Requirements

  • 2+ years of experience in account coordination, order fulfillment, customer success, or a similar operations-focused role.
  • Proven ability to manage a high volume of concurrent accounts or projects with strong organizational discipline.
  • Strong written communication skills — clear, professional, and proactive. You write well and know when to pick up the phone.
  • A personable, customer-first presence that naturally builds trust without needing to sell.
  • Experience working cross-functionally in a fast-paced environment, coordinating across multiple internal teams.
  • Familiarity with ERP systems (e.g., ABAS), project tracking tools (e.g., Monday.com), and Microsoft Office Suite.
  • High attention to detail, strong follow-through, and a genuine sense of ownership over your accounts.
  • Comfortable with ambiguity and shifting priorities — custom manufacturing moves fast and no two days are identical.

Nice To Haves

  • Bilingual in English and Spanish is a plus.

Responsibilities

  • Manage a portfolio of 25+ active orders simultaneously, maintaining accuracy, timeliness, and alignment with customer specifications across all accounts.
  • Serve as the primary day-to-day point of contact for assigned customers — proactive, responsive, and dependable from first introduction through final delivery.
  • Provide milestone-based updates to customers, ensuring they are never left chasing status on their own orders.
  • Review and validate incoming orders against job sheets, quotes, and purchase orders to confirm configurations, quantities, and delivery requirements before production begins.
  • Track order progress across Engineering, Procurement, Manufacturing, and Accounting — surfacing risks and delays early with clear communication and a solutions-first approach.
  • Participate in the joint Sales-to-CX handoff for new accounts, establishing a strong first impression and continuity of relationship from the start.
  • Monitor customer-supplied components and third-party dependencies, proactively flagging anything that could impact delivery timelines.
  • Communicate primarily through email with strong written clarity, supported by phone and video calls during custom development cycles or when direct conversation adds value.
  • Triage inbound customer requests accurately — resolving what falls within your authority and escalating appropriately when broader input is required.
  • Coordinate a clean handoff to the Support team for post-delivery service and spare parts needs.
  • Maintain accurate, up-to-date records in Monday.com and ABAS to ensure internal visibility into account and order status across the organization.
  • Contribute to process improvement initiatives, SOP documentation, and internal tools as the team continues to build more scalable systems.
