About The Position

Gradient is an experiential marketing agency that creates immersive, in-real-life brand experiences. We bring together strategy, creative, production, and execution to help brands show up in the world through thoughtful, high-impact experiences. We are looking for a highly organised, proactive, and detail-oriented Account Coordinator to support our Account team across client relationships, projects, events, and brand experiences. This role is ideal for someone who is an excellent communicator, thrives in a fast-paced creative environment, and is excited to learn how experiential projects move from initial brief through execution and wrap. The Account Coordinator will support the day-to-day management and coordination of client projects, working closely with Account Managers as well as our internal Strategy, Creative, and Production teams. Project organisation, communication, attention to detail, and strong follow-through are central to this role. The Account Coordinator helps ensure information moves seamlessly between clients and internal teams, meetings are productive, deliverables stay on track, and project details are properly documented. This person should be self-motivated, collaborative, solutions-oriented, and comfortable managing multiple priorities at once. The ability to anticipate needs, take direction, communicate clearly, and take ownership of delegated responsibilities is critical for success.

Requirements

  • Prior experience as an Account Coordinator, Project Coordinator, Marketing Coordinator, or in a similar client-facing or project-based role.
  • Strong written, presentation, organisational, and communication skills.
  • Experience supporting client relationships or working as part of a client services team.
  • Strong attention to detail and ability to manage deadlines across multiple projects.
  • Comfortable working with presentations, spreadsheets, project trackers, and collaborative project management tools.
  • Ability to work onsite for events and travel as needed.

Nice To Haves

  • Experience in experiential marketing, advertising, events, communications, hospitality, or another creative industry preferred.
  • Agency experience preferred.
  • Experience working with luxury, lifestyle, hospitality, beauty, technology, or consumer brands is a plus.

Responsibilities

  • Support Account Managers in the day-to-day management of client relationships and projects.
  • Participate in client meetings, internal meetings, brainstorms, project briefings, and status calls.
  • Help prepare meeting agendas, presentations, status documents, and other client-facing materials.
  • Take clear and detailed meeting notes and distribute recaps, action items, responsibilities, and next steps.
  • Support timely follow-up with clients and internal teams to keep projects moving forward.
  • Develop a strong understanding of each client’s business, brand, objectives, and project needs.
  • Help coordinate projects from initial brief through planning, production, execution, and wrap.
  • Track project timelines, milestones, deliverables, approvals, and outstanding action items.
  • Work closely with Strategy, Creative, Production, and other internal teams to ensure teams have the information and feedback needed to move work forward.
  • Help manage client feedback and ensure updates are accurately communicated to the appropriate internal teams.
  • Identify potential timing, communication, or deliverable issues and flag them proactively to the Account team.
  • Own delegated portions of projects to create efficiency and support the broader Account team.
  • Create, edit, and maintain project documentation including status reports, timelines, agendas, meeting notes, presentations, deliverable trackers, and recap documents.
  • Maintain organized client and project files, folders, templates, and key documentation.
  • Help coordinate calendars, meetings, presentations, and internal reviews.
  • Support the preparation and proofreading of client-facing decks and materials.
  • Assist with project estimates, purchase orders, invoices, budget trackers, and financial documentation as needed.
  • Support project wrap-up, reporting, case studies, and client recaps.
  • Support the Account team during onsite event execution as needed.
  • Help ensure client needs, expectations, and project details are communicated clearly during live events and activations.
  • Collaborate closely with Production and other onsite teams to support a seamless client experience.
  • Remain calm, professional, responsive, and solutions-oriented in fast-moving event environments.
  • Travel as needed for client projects and activations.
