About The Position

We are currently looking for a talented full-time Account Coordinator to join our Client Success team. The ideal candidate is highly organized, proactive, and thrives in a fast-moving environment. They are an excellent communicator who can confidently coordinate between clients and internal teams, keep projects moving forward, and ensure deadlines and deliverables stay on track. They are comfortable managing competing priorities, solving problems quickly, and holding internal teams accountable to timelines and expectations. The Web Coordinator plays a key role in ensuring the successful delivery of web-related tasks and projects across the agency. While this role works closely with our web development and design teams, it is ultimately focused on client communication, internal coordination, project accountability, and delivery outcomes. This position sits within the Client Success team and acts as a central point of coordination between clients, strategists, content writers, designers, developers, vendors, third-party stakeholders, and other internal teams to ensure work is completed accurately, efficiently, and on schedule. The ideal candidate is organized, detail-oriented, calm under pressure, and energized by fast-paced agency work. They are comfortable following up on deadlines, escalating blockers, managing shifting priorities, and ensuring projects continue moving forward at all times. This is a hybrid role and work is performed from the Ottawa office at least 3 days per week.

Requirements

  • 2–4+ years of experience in project coordination, account coordination, project management, or operations within an agency or fast-paced environment.
  • Strong communication and relationship management skills, both written and verbal.
  • Ability to translate technical terminology and project updates into clear, client-friendly communication.
  • Proven ability to manage multiple priorities and deadlines simultaneously.
  • Experience coordinating cross-functional teams and keeping projects on track.
  • Highly organized, detail-oriented, and process-driven.
  • Ability to stay calm, adaptable, and solutions-focused in a fast-paced environment.
  • Experience working with project management systems and collaborative workflows.
  • Self-starter mentality with strong ownership and follow-through.

Nice To Haves

  • Familiarity with web development, SEO, or digital marketing workflows is considered an asset.

Responsibilities

  • Coordinate multiple workflows, client projects, and incoming requests across internal teams including SEO, Content, PR, and Social.
  • Act as a central point of communication between clients and internal teams, ensuring everyone stays aligned, informed, and moving toward deadlines.
  • Build strong relationships with clients and internal teams through clear, confident, professional communication, while bringing energy, enthusiasm, and a positive attitude to every interaction.
  • Own turnaround times for all non-project-based requests, ensuring tasks are completed within agreed timelines and proactively followed up on to avoid delays.
  • Manage timelines, priorities, and deliverables to ensure projects are completed on time and aligned with client expectations.
  • Provide clear reporting and updates on both active and completed projects, ensuring stakeholders have visibility into progress, outcomes, and key milestones.
  • Help prioritize incoming requests and balance competing deadlines in a fast-paced agency environment.
