About The Position

ADESA, a Carvana-owned company, operates in over 50 locations throughout the US, providing a wide array of vehicle services including repair, reconditioning, and auction remarketing. This role reports to the Commercial Accounts Manager (CAM) or a designated leader and is responsible for the administrative management of customer accounts. The Account Administrator serves as the primary point of contact for administrative operations, ensuring accuracy in financial, inventory, and sale day activities for commercial and dealer partners.

Requirements

  • High School diploma or GED preferred
  • Must be 18 years of age and have a valid driver’s license that meets the requirements
  • Able to safely drive a variety of vehicle makes, models, and sizes
  • Highly organized with a strong ability to manage complex financial data, invoicing, and reporting.
  • Strong customer service skills with a focus on professional verbal and written communication.
  • Proven ability to maintain a high degree of accuracy while multitasking in a fast-paced environment.
  • Advanced skills in transaction reconciliation and inventory tracking.
  • Team player who can collaborate effectively with cross-functional departments (lot, shop, and admin) and external vendors.
  • Ability to manage deliverables and metrics against aggressive targets and timelines.
  • Must be able to read, write, speak, and understand English.

Responsibilities

  • Manage complex daily account operations, including customer communication, invoicing, Accounts Receivable (A/R), and payment processing.
  • Oversee high-level inventory monitoring and reporting (both pre- and post-sale).
  • Ensure all systems are updated accurately and coordinate cross-functional follow-up with internal teams and vendors.
  • Ensure high accuracy in sale preparation and execution, including lineup management, fee posting, and reconditioning (recon) activities.
  • Perform detailed reconciliation of transactions to ensure all account records are accurate following auction activities.
  • Provide elevated administrative support to the sales team and resolve complex customer inquiries or account discrepancies.
  • Maintain accurate data entry for vehicle information, customer records, and transaction history in company systems.
  • Ensure all company policies, administrative standards, and state/federal laws are followed.
  • Perform any other duties assigned by the designated manager.
